How to Write Quotes and Estimates with ChatGPT (Without Guessing Your Prices)

Small business, step-by-step: turn messy job notes into a clear, professional quote in minutes with ChatGPT, Claude or Grok Bot. Set up your price list once, use 3 copy-paste prompts, check the math, and send it your usual way.

Illustration for the guide: How to Write Quotes and Estimates with ChatGPT (Without Guessing Your Prices)
Quick answer: Give ChatGPT your real prices and your job notes, tell it to never invent a price and to write [ASK ME] for anything missing, then ask for a quote with line items, what’s included and not included, timeline, payment terms and an expiry date. Check every number with a calculator, fix anything that’s off, and paste it into your usual quote or invoice template. ChatGPT drafts the words. You set the price. Save your price list and rules in a ChatGPT Project (free on every plan) so you never paste them again.

🏆 Bot Club, $9/mo: new copy-paste bot recipes and ready-made templates every month, plus a monthly “get unstuck” Q&A post in the members area. Cancel anytime.

Why use AI for quotes?

Most owners don’t lose jobs because their price is wrong. They lose them because the quote went out three days late, or it was a one-line text that didn’t explain anything. Customers compare. The FTC’s advice to homeowners is to get several written estimates that describe the work, the materials, the completion date and the price, not to automatically choose the lowest bidder, and to ask for an explanation when estimates differ a lot. A clear quote that says exactly what you’ll do is how you win when you’re not the cheapest.

Writing that clear quote after a long day is the part AI is good at. You give it the facts and your prices, it turns them into tidy, friendly paperwork in a minute, and you check it before it goes out.

Phone-ok. Everything here works in the ChatGPT, Claude or Grok app. Type or dictate your notes in the truck or the parking lot, and the quote is ready before you get home.

The golden rule: AI never sets your price

  • Only your numbers. Paste your real price list. Tell it: “Never invent or estimate a price. If a price is missing, write [ASK ME].”
  • Check the math yourself. AI assistants can add up wrong and still sound confident. Recheck every total with a calculator.
  • You send it. Read every line before it reaches a customer. Your name is on it.

Quote or estimate? Say which one it is

People use the words loosely. Usually an estimate is your best guess that can change once you start, and a quote is a set price for a clearly defined job. What actually counts can depend on your trade and your state, so don’t rely on the title. Write on the document whether the price is fixed or may change, what could change it, and how you’ll tell the customer before it does. Every prompt below asks ChatGPT to include that line.

What a good quote includes (checklist)

  • Your business name, phone and email, plus your license number if your trade requires one
  • Customer name and job address
  • A plain-English description of the work
  • Line items: labor, materials, quantities and prices (from your list)
  • What’s included and what’s not (this one line prevents most arguments)
  • Estimated start and completion dates
  • Total, payment terms and any deposit
  • Whether the price is fixed or an estimate, and how changes are handled
  • How long the quote is good for

Doing home improvement work? The FTC tells homeowners to make sure a contract includes the contractor’s name, address, phone and license number, estimated start and completion dates, any promises made about the scope of work and the cost of labor and materials, and no blank spaces. If the customer signs in their home (or anywhere other than your permanent place of business), the FTC says the contract should include a written statement of their right to cancel within three business days. It also notes that some states limit how big a down payment a contractor can ask for. Rules vary by state, so check yours before you set a deposit.

Step 1: Set up a “Quotes” Project once (5 minutes)

  1. In ChatGPT, select New project in the sidebar and name it “Quotes”.
  2. Add files: your price list, your standard terms, and one or two old quotes you liked. OpenAI’s limits per project: Free 5 files, Go and Plus 25, Pro, Business, Enterprise and Edu 40 (and only 10 at a time). On Free, combine everything into one document.
  3. Select the ••• menu, then Project settings, and paste the rules below. OpenAI says project instructions apply only inside that project and override your global custom instructions.
You help me write quotes for [BUSINESS NAME], a [TYPE OF BUSINESS]
in [TOWN]. Use ONLY the prices in my price list file. Never invent,
estimate or round a price. If something isn't on my list, write
[ASK ME]. Show every line item as quantity x rate = amount, then
the total. Always include: what's included, what's not included,
estimated start and finish, payment terms, whether the price is
fixed or an estimate, and "This quote is valid until [DATE]".
Friendly, plain English, no sales hype, no fake urgency. Draft
only: I review and send everything myself.

Projects cost nothing extra: OpenAI says they’re included with every qualifying ChatGPT plan. Using Claude? A Claude Project works the same way. New to Projects? See ChatGPT Projects for beginners.

Privacy: For Free, Plus and Pro accounts, OpenAI says information in projects may be used to train its models if Improve the model for everyone is on (check Settings → Data controls). Use first names while drafting and add the customer’s full address and phone number in your final copy, not in the chat.

Step 2: 3 copy-paste quote prompts

Open a new chat inside your Quotes Project and paste one of these. Fill in the [brackets].

1. 📝 Messy job notes → a clean quote

Turn my notes into a professional quote for [CUSTOMER FIRST NAME].
Job: [WHAT THEY WANT DONE].
My notes: [PASTE OR DICTATE EVERYTHING: measurements, materials,
problems you spotted, how long it will take].
Use only my price list. Lay it out as: short intro (2 sentences),
line items (qty x rate = amount), total, what's included, what's
NOT included, estimated start and finish, payment terms, fixed
price or estimate, valid until [DATE]. List anything you need
from me as [ASK ME] questions at the end.

2. 🥉🥈🥇 Give them 3 options (good, better, best)

Using the job below and only my price list, write 3 options
for [CUSTOMER FIRST NAME]:
GOOD: the basic job that solves the problem.
BETTER: [WHAT YOU'D ADD, e.g. better materials / extra coat].
BEST: [WHAT YOU'D ADD, e.g. longer warranty / full cleanup].
For each: one plain sentence on who it's best for, line items,
total. No pressure wording. End with one line telling them how to
say yes. Job: [DESCRIBE].

Options give a customer a choice between your prices instead of a choice between you and the next company. Only offer extras you’d genuinely recommend.

3. ✂️ “What’s included and what’s not” in plain English

Here's a quote I wrote: [PASTE]. Rewrite only the scope section
so a non-expert understands it. Make two short lists: "Included"
and "Not included (can be added for an extra charge)". Add a
"What could change the price" line with the 2 or 3 most likely
surprises for this kind of job, and say I'll get their OK before
doing any extra work. Don't change any prices.

That “not included” list is the line that saves you from “I thought that was part of it” later.

How Bot Club works

Step 3: Check it before it goes out (2 minutes)

  1. Prices: every price matches your list. Search the draft for [ASK ME] and fill each one.
  2. Math: recheck each line (qty × rate) and the total with a calculator.
  3. Promises: no dates, warranties or extras you didn’t agree to.
  4. Price type: it says fixed or estimate, and how changes are handled.
  5. Blanks: no empty spaces or leftover [brackets].

Ask it to check its own work too: “Go through this quote line by line. List any price that isn’t on my price list and any total that doesn’t add up.” Then still do the calculator check yourself.

Step 4: Send it your usual way

OpenAI says ChatGPT may put a draft like this in a writing block that you can edit directly, copy, or open full screen. Depending on your plan and device, you may also see options to open a supported email draft in your email app or save a document to your Library. The simplest path for most owners:

  • Using invoicing or quoting software? Copy the line items and scope into it so your numbering and payment links stay in one place.
  • Using a document template? Paste into your Google Docs or Word quote template with your logo, then save as PDF.
  • Quick job? Paste the short version into an email or text, and keep a copy.

Want the cover email to sound like you? Our email-writing guide has a 5-minute “sound like me” setup. For following up on a quote that went quiet, see prompt 4 in ChatGPT for small business.

Don’t sound like a scam

The FTC lists warning signs homeowners watch for, including pressure for an immediate decision, asking for everything up front or cash only, and asking the customer to get the permits. Honest businesses get lumped in with scammers when their quotes do the same things by accident. So:

  • No fake deadlines like “price only good today” unless it’s true.
  • A reasonable deposit, not the full amount up front, and more than one way to pay.
  • Say clearly who handles permits if the job needs them.
  • Never invent discounts, reviews, awards or guarantees to close a job.

Troubleshooting

  • It made up a price. Add to your instructions: “Never invent prices. Use [ASK ME].” Make sure your price list file is in the Project.
  • The totals are wrong. Ask for every line as qty × rate = amount, and recheck with a calculator. Don’t send until they match.
  • It sounds like a corporation. Paste an old quote or message you wrote and say “match this tone.”
  • It’s way too long. Say “one screen, short sentences, no intro paragraph.”
  • It forgot my rules. Start the chat inside the Quotes Project, not in a regular chat.

Quick FAQ

Can ChatGPT write a quote or estimate for my business?

Yes, as a draft. Give it your real price list and your job notes, tell it never to invent prices and to mark anything missing as [ASK ME], and ask for line items, what is and isn’t included, timeline, payment terms and an expiry date. Check every price and total yourself before sending.

How do I stop ChatGPT from making up prices?

Put your price list in a ChatGPT Project and add the instruction: use only the prices in my file, never invent or estimate a price, and write [ASK ME] if something is missing. Then check every line against your list before sending.

What should a written estimate include?

The FTC tells homeowners a written estimate should describe the work, the materials, the completion date and the price. A good quote also lists what isn’t included, payment terms, whether the price is fixed or may change, and how long the quote is valid.

What is the difference between a quote and an estimate?

People use the words loosely. Usually an estimate is a best guess that can change and a quote is a set price for a defined job, but what counts can depend on your trade and state. Say on the document whether the price is fixed or may change, and how changes are handled.

Is it safe to put customer details into ChatGPT?

Keep it minimal. For Free, Plus and Pro accounts, OpenAI says project content may be used for training if Improve the model for everyone is on. Use first names while drafting and add full addresses and phone numbers in your final copy.

Can ChatGPT do the math on my quote?

It can lay out quantity times rate for each line and add a total, but AI assistants can make arithmetic mistakes. Always recheck every line and the total with a calculator before you send a quote.
