ChatGPT Projects for Beginners: One Folder Per Job, So You Never Re-Explain Yourself

Beginner, step-by-step: set up a ChatGPT Project in 5 minutes so it remembers your business, your class or your family plans. Where to click, what files and instructions to add, file limits on each plan, the memory setting most people miss, and the easy move if you’ve been using a custom GPT.

Illustration for the guide: ChatGPT Projects for Beginners: One Folder Per Job, So You Never Re-Explain Yourself
Quick answer: A Project is a folder inside ChatGPT that keeps related chats, files and instructions together, so every new chat in it already knows the background. Select New project in the sidebar, name it, add your files, then open ••• → Project settings to write instructions. Projects are included in every ChatGPT plan at no extra cost. OpenAI’s help page (checked Oct 21, 2026) lists 5 files per project on Free, 25 on Go and Plus and 40 on Pro, Business, Edu and Enterprise. With custom GPTs scheduled to retire on Dec 11, 2026, a Project is the simplest home for your instructions.

What a Project is (in plain English)

Without a Project, every new ChatGPT chat starts from scratch, and you end up pasting the same background again and again: “I run a bakery…”, “my class is Biology 101…”, “we’re a family of four…”. A Project fixes that. Think of it as a labeled folder: inside it you keep your chats, your files and a short set of instructions, and ChatGPT uses all of it every time you chat there.

OpenAI’s own examples are a good way to picture it:

🎓 School

Add class materials, then ask for a study guide or practice questions.

🏪 Work

Collect your business or project details, then draft briefs, plans, posts and emails from them.

🏡 Personal

Track vendors, budgets and timelines for an event, a move or a home project.

Phone-ok. You can create and use Projects in the ChatGPT app on your phone. Uploading a pile of files is easier on a computer, but it isn’t required.

Projects vs Custom Instructions vs Memory vs custom GPTs

These four get mixed up all the time. Here’s the short version:

FeatureWhat it’s forUse it when
Custom InstructionsHow you want ChatGPT to talk to you everywhereYou want the same tone and rules in every chat. Guide
MemorySmall facts ChatGPT picks up about you over timeYou want it to remember things like your name or diet without being told. Guide
ProjectA folder of chats, files and instructions for one jobYou keep coming back to the same topic: your business, a class, a client, a trip
Custom GPTA custom version of ChatGPT you build and can shareBeing retired on Dec 11, 2026 (see below). For your own use, a Project does most of the same job

One detail that matters: OpenAI says Project instructions apply only inside that Project and override your global Custom Instructions. So you can be “short and casual” everywhere, and “formal, with bullet points” only in your Work project.

Step 1: Create your first Project (1 minute)

  1. Select New project in the sidebar.
  2. Give it a clear name, like “My Bakery”, “Biology 101” or “Smith Family Move”, and pick an icon and color.
  3. Pick one job per Project. OpenAI says you can create as many Projects as you like, so there’s no need to cram everything into one.

Step 2: Add the files it should know

Upload PDFs, spreadsheets, documents or images, or paste text. ChatGPT uses what you add to give more informed answers. Good first files: your price list or menu, your FAQ, a class syllabus, a packing list, or 2 or 3 examples of writing that sounds like you.

PlanFiles per Project
Free5
Go, Plus25
Pro, Business, Edu, Enterprise40

From OpenAI’s Projects help page, checked October 21, 2026. You can upload up to 10 files at a time. On Free, combine small notes into one document so you don’t burn your 5 slots.

Never upload: passwords, card or bank numbers, ID numbers, or anyone’s health details. A short “facts sheet” you wrote yourself beats dumping in whole folders of private paperwork.

Step 3: Write Project instructions (the part that makes it smart)

Open the Project, select the ••• menu, then Project settings, and type your instructions. Keep it to 5 to 10 short lines: who it’s helping, what it should do, how answers should look, and what it must never do. Here are 3 setups to copy (fill in the [BRACKETS]):

1. 🏪 “My Business Helper” (small business)

You help me run [BUSINESS NAME], a [TYPE OF BUSINESS] in [TOWN].
Use the files in this project for our hours, prices and policies.
Never invent a price, discount, date or policy. If it isn't in the
files, write [CHECK] instead.
Write like me: friendly, plain words, short sentences, no hype.
Default to 3 short options I can pick from.
Draft only. I review and send everything myself.

Files to add: your price list or menu, hours and policies, and 3 posts or emails you wrote that sound like you.

2. 🎓 “[CLASS NAME] Study Project” (students)

You are my patient tutor for [CLASS NAME]. Use the syllabus and
notes in this project. Explain things simply, one step at a time,
and check I understand before moving on. When I ask for practice,
give questions first and put the answers at the very bottom.
Don't write my assignments for me. Help me understand them.
If something isn't in my materials, say so and suggest where to look.

Files to add: the syllabus, your class notes, and the study guide if your teacher gave one. Heads-up: OpenAI says study mode doesn’t apply inside Projects, so these instructions do that job. More in our study buddy guide.

3. 🏡 “Family Planner” (home and events)

You help our family plan [EVENT / MOVE / WEEKLY MEALS].
We are [WHO, e.g. 2 adults, kids aged 6 and 9, one dog].
Our budget is [BUDGET] and the date is [DATE].
Keep a running checklist and remind me what's still undecided.
Answer in short bullet lists. Never book, buy or send anything.
Write [CHECK] next to any price or opening time you can't confirm.

Files to add: quotes from vendors, the guest list or a screenshot of the venue details.

How Bot Club works

Step 4: Pick the right memory setting (most people miss this)

OpenAI lets each Project use one of two memory settings. Change it any time under ••• → Project settings → Memory, then Save. OpenAI says changes may take a few hours to kick in.

  • Default memory: the Project can use your saved memories, and on most plans its chats can also draw on (and be drawn on by) your other chats.
  • Project-only memory: the Project only uses its own chats and files. Your other chats can’t see it, and it can’t see them.
Easy rule: use project-only for anything you want kept in its own box, like a client’s work or a private family matter. Use default when you want ChatGPT to know you everywhere, like a personal meal or study project.

Step 5: Move old chats in and keep good answers

  • Move a chat in: drag it onto your Project, or open the chat’s menu and choose Move to project. It then follows the Project’s instructions and files.
  • Save a great answer: on a response you want to reuse (a summary, a plan, a draft), open the message menu and choose the option to save it to your Project’s sources (OpenAI says the label may vary).
  • Can’t move a chat? Chats started with a custom GPT can’t be moved into a Project. Start a fresh chat inside the Project instead.

Custom GPT users: what the Dec 11 retirement means for you

OpenAI’s retirement FAQ says custom GPTs are scheduled to retire on Dec 11, 2026 and creators can migrate them to plugins (My GPTs → Migrate to plugin, once it’s available for your account). Existing GPTs keep working until then, and your old conversations stay accessible afterward.

If your GPT was just for you (a set of instructions plus a few files), a Project is often the simpler home: same instructions, same files, plus it keeps all your chats together. Our custom GPT guide covers the plugin route, and Bot Club members get a step-by-step move-it-to-a-Project template.

Sharing a Project with family or a team

OpenAI says Project sharing is available on every plan, including Free. Select Share, then invite people with chat access (they can use it) or edit access (they can also change instructions and files and invite others). Shared Projects automatically use project-only memory, so nobody’s personal memories leak in. OpenAI lists up to 5 collaborators on Free, 10 on Go and Plus and 100 on Pro.

Before you share: everyone in a shared Project can see and download its files and read its chats. Only add files you’d be fine with every member seeing.

Stay safe: 4 simple rules

  • Check your training setting. For Free, Plus and Pro, OpenAI says Project content may be used to improve its models if Improve the model for everyone is on. Turn it off in Data controls if you’d rather it wasn’t. More in Is my AI assistant safe?
  • Keep secrets out. No passwords, account numbers or health details in files or instructions.
  • Draft, don’t send. Put “Draft only, I send everything” in your instructions.
  • Deleting is forever. OpenAI says deleting a Project permanently removes its chats, instructions and files stored only in it, and can’t be undone. Download anything you need first.

When a Project doesn’t work

  • “It ignored my instructions.” Shorten them to 5 to 10 clear lines, put the most important rule first, and start a new chat in the Project (old chats can carry old habits).
  • “I hit the file limit.” OpenAI suggests removing old uploads, combining files, or splitting the work into more Projects.
  • “It’s mixing in stuff from other chats.” Switch the Project to project-only memory, and give it a few hours.
  • “Study mode isn’t working here.” It doesn’t apply in Projects. Use the tutor instructions in setup #2.
  • “My Google Drive folder isn’t updating.” OpenAI says the Google Drive app doesn’t sync in advance inside a Project. It can still search your Drive when you ask.
  • “My GPT chat won’t move in.” GPT chats can’t be moved. Start a new chat inside the Project.

Quick FAQ

What is a project in ChatGPT?

A Project is a folder inside ChatGPT that keeps related chats, files and instructions together, so every chat in it already knows the background. Create one with New project in the sidebar, add files, and write instructions under ••• → Project settings.

Are ChatGPT Projects free?

Yes. OpenAI says Projects are included in every qualifying ChatGPT plan at no extra cost, and you can make as many as you like. The Free plan allows 5 files per project, Go and Plus 25, and Pro, Business, Edu and Enterprise 40 (checked Oct 21, 2026).

Do Project instructions replace my Custom Instructions?

Inside that Project, yes. OpenAI says Project instructions apply only within the Project and override your global Custom Instructions. Outside it, your normal Custom Instructions still apply.

Can a ChatGPT Project replace my custom GPT?

For a GPT you use yourself, often yes: paste its instructions into Project settings and upload its knowledge files. Custom GPTs are scheduled to retire on Dec 11, 2026, and creators can also migrate them to plugins with My GPTs → Migrate to plugin when it’s available.

What's the difference between default and project-only memory?

Default memory lets the Project use your saved memories and, on most plans, share context with your other chats. Project-only memory keeps it to the Project’s own chats and files. Change it in ••• → Project settings → Memory; it can take a few hours.

Can I share a ChatGPT Project?

Yes, on every plan including Free. Select Share and give people chat or edit access. OpenAI lists up to 5 collaborators on Free, 10 on Go and Plus and 100 on Pro. Shared Projects use project-only memory, and every member can see its files and chats.
