ChatGPT Scheduled Tasks for Beginners: Make Your AI Remind You, Brief You and Check Things for You

Beginner, step-by-step: turn ChatGPT into a little bot that taps you on the shoulder. Set a reminder, a morning briefing or a “tell me when this changes” check in one sentence, get it by push or email, and manage, pause or delete it in seconds. Plan limits from OpenAI’s help page, plus Gemini’s version.

Illustration for the guide: ChatGPT Scheduled Tasks for Beginners: Make Your AI Remind You, Brief You and Check Things for You
Quick answer: Just ask in a chat, with what and when: “Every weekday at 7 a.m., give me a 5-line briefing on…”. ChatGPT turns that into a scheduled task, runs it on schedule and notifies you by push or email. Find all your tasks on the Scheduled page in the sidebar (or Settings → Notifications → Manage tasks). OpenAI’s help page (checked Nov 1, 2026) lists 3 active tasks on Free and Go, at most once a day in flexible windows like “morning”; Plus gets 5, with exact times and up to hourly.

🏆 Bot Club, $9/mo: new copy-paste bot recipes and ready-made templates every month, plus a monthly “get unstuck” Q&A post in the members area. Cancel anytime.

What a scheduled task is (in plain English)

Normally ChatGPT only talks when you talk first. A scheduled task flips that: you give it a job and a time, and it comes back to you. It’s the easiest way to get a real “bot” feeling without building anything.

OpenAI’s help page describes three kinds:

⏰ One-time

“Remind me Friday at 4 p.m. to call the dentist.” Runs once, then it’s done.

🔁 Recurring

“Every Monday morning, plan 3 easy dinners for the week.” Runs on a repeat schedule.

👀 Monitoring

“Let me know when my package is delivered.” Checks for changes and only pings you when there’s something worth reporting. OpenAI says monitoring tasks can use what they found on earlier runs and stop when an end condition you set is met.

Phone-ok. You can set up everything below from the ChatGPT app on your phone. Create the task in the mobile app if you want phone notifications.

What you get on each plan

From OpenAI’s Scheduled tasks help page, checked October 21, 2026. Plans change, so glance at it before you rely on a number.

PlanActive tasksHow often
Free, Go3Once, or at most once a day, in flexible windows (morning, afternoon, night)
Plus5Exact times, up to once an hour
Business, Edu10Exact times, up to once an hour
Pro, Enterprise15Exact times, up to once an hour

Things scheduled tasks don’t support, per OpenAI: voice chats, GPTs and locked chats. And if you create a task inside a Project, it can’t read that project’s uploaded files, so paste anything it needs right into the task.

Tasks use your plan’s usage, even quiet ones. OpenAI’s help page (checked Nov 1, 2026) says a completed task in Chat can use your plan’s usage allowance or workspace credits even when it doesn’t post an update, because it still runs in the background. Pause tasks you don’t read, or make them run less often.

Step 1: Turn on notifications (2 minutes)

  1. Open Settings → Notifications and choose Push, Email, or both for tasks.
  2. On a computer, if your browser asks to allow notifications, select Allow.
  3. On your phone, make your first task in the ChatGPT app and accept the notification permission when it asks. That’s what lets tasks buzz your phone.
Easy choice: pick Email if you don’t want more buzzing. Your briefing waits in your inbox like a newsletter written just for you.

Step 2: Make your first task (the 4-part recipe)

You don’t need special words. Just tell ChatGPT four things, in any order:

  1. What to do (“give me 3 dinner ideas”).
  2. When (“every Sunday at 4 p.m.” or, on Free, “every Sunday afternoon”).
  3. How short (“5 bullet points, under 100 words”).
  4. When to stay quiet or stop (“only message me if…”, “stop after Dec 20”).

ChatGPT replies with a confirmation of the task. Read it: that’s your chance to catch a wrong time or day. Here are 3 starter tasks to copy (fill in the [BRACKETS]):

1. ☀️ The 7 a.m. morning briefing

Every weekday morning, give me a short briefing for [CITY]:
today's weather in one line and what to wear, one news headline about
[TOPIC I CARE ABOUT] with a link, and one tiny tip for [MY GOAL, e.g.
learning Spanish / running my bakery]. Under 100 words. No small talk.

2. 🎂 The “don’t forget” reminder

On [DATE] at [TIME], remind me that [NAME]'s birthday is in 3 days.
Give me 3 gift ideas under $[BUDGET] for someone who likes [INTERESTS],
and a 2-line message I could write in the card.

3. 📦 The “tell me when it changes” check

Once a day, check [PUBLIC PAGE, e.g. the library's events page /
a product page URL] and tell me only if [WHAT I'M WAITING FOR, e.g.
a new Saturday kids' event is posted / it's back in stock]. If nothing
changed, don't message me. Stop checking after [DATE].

How Bot Club works

Step 3: See, edit, pause or delete your tasks

  • See them all: open Scheduled in the sidebar. You can also go to Settings → Notifications → Manage tasks, or in any chat open the ••• menu and choose See scheduled tasks.
  • Change one: select the task title in its conversation. The task panel lets you edit, pause, manage or delete it. You can also open it on the Scheduled page to change its schedule.
  • Hit your limit? Pause or delete a task, or wait for a one-time task to finish, then make the new one.
Good habit: keep one task per job (“Morning briefing”, “Bills check”). It’s easier to tweak, and if one breaks, the others keep working.

🔒 Members-only

Members get the full pack: Level 2: “watch for it” and email-triggered tasks

A step-by-step for monitoring tasks that stop on their own (with an end-condition checklist and 3 ready-to-copy watch tasks: back in stock, a new class or event date, a new public notice), plus how to set up an event-triggered task that reacts when a matching Gmail message arrives on eligible paid plans: where to connect Gmail, what to review in Trigger, Condition and Prompt, a copy-paste “summarize and draft, never send” instruction, and the run limits OpenAI lists.

How Bot Club works

Share a task with family or your team

OpenAI says you can share an eligible task so someone else can review it and schedule their own copy. Go to Scheduled, open the task’s ••• menu, choose Share, review the details and select Copy link. A shared link includes the task’s title, instructions, schedule and time zone, but not your name, chat history, memories, files or app logins.

Before you share: anyone who can open the link can read the full instructions, and the title may show in a link preview. OpenAI says not to put health information, financial details, passwords or account numbers in a task’s title or instructions. Deleting the link stops new people from opening it but doesn’t delete copies others already made.

Using Gemini instead? It has “schedules” too

Google’s Gemini app can also run actions on a schedule, like a daily news digest or weekly ideas. From Google’s help page (checked Oct 21, 2026):

  • You can have up to 10 active schedules at a time.
  • You need Keep Activity turned on, and Google says it’s still rolling out to personal accounts, so you may not have it yet.
  • Type your prompt with when and how often at gemini.google.com, and manage schedules from Scheduled in the sidebar.
  • Gemini prepares results within the hour before delivery, so fast-changing info (like stock prices) won’t be the very latest. Schedules work best for daily summaries and wrap-ups.

Not sure which app to use? Read ChatGPT vs Claude vs Gemini. Want an assistant that does even more on its own? Start with Grok Bot for total beginners.

Stay safe: 4 simple rules

  • Keep secrets out of tasks. No passwords, account numbers or health details in task titles or instructions.
  • Draft, don’t send. Tell every task to draft messages for you, never send, buy or book on its own. OpenAI says actions that need approval pause the task until you review them.
  • Ask for links. “Include a link for every fact” makes it easy to check, and “write [CHECK] if you’re not sure” stops it from guessing.
  • Check your training setting. More in Is my AI assistant safe?

When a task doesn’t work

  • It paused by itself. OpenAI says tasks can pause if they’re inactive, need you to do something, or their chat was archived or deleted. Open Scheduled and resume, edit or delete it.
  • No notification. Check Settings → Notifications (Push and/or Email), allow notifications in your browser, and for phone alerts create the task in the mobile app.
  • “You’ve reached the limit.” Pause or delete one you don’t need. Free and Go allow 3 active tasks.
  • It came at the “wrong” time. Free tasks use flexible windows (morning, afternoon, night). Exact times need a paid plan.
  • It can’t see my project files. Tasks made inside a Project can’t read its uploaded files. Paste the details into the task instead.
  • I deleted the chat. That pauses its task. Deleting a task from Scheduled doesn’t delete the chat.
  • A “Weekly finances update” showed up. OpenAI says connecting a financial account to ChatGPT Finances may create one. Pause or delete it in Scheduled.

Quick FAQ

Can ChatGPT send me reminders?

Yes. Ask in a chat with what and when, for example “Remind me Friday at 4 p.m. to call the dentist.” ChatGPT creates a scheduled task and notifies you by push or email, depending on what you pick in Settings → Notifications.

Are ChatGPT scheduled tasks free?

Yes, with limits. OpenAI’s help page (checked Nov 1, 2026) says Free and Go users can have 3 active tasks that run once or at most once a day in flexible windows like morning or afternoon. Plus allows 5, Business and Edu 10, Pro and Enterprise 15, with exact times and up to hourly runs on paid plans.

Where do I find my scheduled tasks in ChatGPT?

Open Scheduled in the sidebar. You can also go to Settings → Notifications → Manage tasks, or open the ••• menu in a chat and choose See scheduled tasks. From there you can pause, resume, edit or delete them.

Why did my ChatGPT task stop?

Tasks can pause when they’re inactive, need you to approve or do something, or when their chat is archived or deleted. Open Scheduled to resume, edit or delete the task.

Can a scheduled task read my email?

On eligible Plus, Pro, Business, Enterprise and Edu plans, event-triggered tasks in Work can respond to new Gmail messages after you connect Gmail in Settings → Apps. Free and Go can’t create these. Tell the task to summarize and draft only, never send.

Do scheduled tasks use up my ChatGPT usage?

They can. OpenAI’s help page (checked Nov 1, 2026) says a completed scheduled task in Chat can use your plan’s usage allowance or workspace credits even when it doesn’t post an update, because it still does model processing in the background. Pause tasks you no longer need or reduce how often they run.

Does Gemini have scheduled tasks too?

Yes. Gemini calls them schedules. Google’s help page says you can have up to 10 active schedules, you need Keep Activity on, and it’s still rolling out to personal accounts. Results are prepared up to an hour ahead, so they suit daily summaries more than live data.
