Write Holiday Cards and a Family Christmas Letter with ChatGPT (That Still Sound Like You)

A warm, plain-English guide to writing holiday cards, a short family Christmas letter that doesn’t brag, and client thank-you cards with ChatGPT. Jot a few notes, paste a prompt, then make it sound like you. 3 copy-paste prompts, privacy tips, a gentle note for grieving friends, a simple card picture idea, and USPS’s 2026 mail-by dates.

Illustration for the guide: Write Holiday Cards and a Family Christmas Letter with ChatGPT (That Still Sound Like You)
Quick answer: Jot down 3 to 5 real notes about the person (one memory from this year, one thing you appreciate, one wish), paste them into ChatGPT with the first prompt below, and ask for 3 short versions in your tone. Pick one, change a few words so it sounds like you, and check every name. For a family letter, list a few real moments (including one funny or imperfect one) and ask for under 250 words with no bragging. Don’t paste other people’s addresses or private news into the chat. USPS recommends mailing cards by First-Class Mail by Thursday, Dec. 17, 2026 for expected delivery by Dec. 25 in the lower 48 states.

ChatGPT writes the first draft. You add the heart. It doesn’t know your people, so it can invent details or sound like a store-bought card. Give it real notes, never let it make up memories, and read every card before it goes in the envelope. Check names, spellings and pet names letter by letter. Keep private things private: don’t paste addresses, phone numbers, health news or other people’s personal details into the chat (more in Privacy below).

Why this helps (and when to mail)

Most of us want to send cards and then freeze at the blank space inside. The hard part isn’t the stamp; it’s the words. ChatGPT is very good at turning a few honest notes into a warm first draft you can finish in a minute, so you can actually get through the list this year.

USPS 2026 recommended send-by dates for expected delivery before December 25 (from USPS’s 2026 Holiday Shipping Deadlines page; USPS says actual delivery can vary):

  • Cards by First-Class Mail, lower 48 states: Thursday, Dec. 17.
  • Priority Mail: Friday, Dec. 18. Priority Mail Express: Saturday, Dec. 19.
  • Military (APO/FPO/DPO) by First-Class Mail: Wednesday, Dec. 9 for the ZIPs USPS lists.
  • International dates are earlier (Wednesday, Dec. 9 for First-Class Package International and Priority Mail International to regions like Europe and Mexico). Check the USPS page for your destination.
  • Hanukkah is early this year (Dec. 4 to Dec. 12), USPS notes, so mail those cards sooner.
Phone-ok: everything here works in the ChatGPT app on your phone. Type your notes, or tap the microphone and just talk them through (“Aunt Rose, she taught me to knit, she moved to Tucson this year…”). Prefer talking? See ChatGPT voice mode for beginners.

Step 1: Jot 3 to 5 real notes per card

The secret to a card that doesn’t sound like AI is one specific detail. Before you open ChatGPT, write a few words for each person:

  • Who they are to you (sister, neighbor, longtime customer).
  • One real moment from this year (“helped us move in June,” “the lemon bars at the block party”).
  • One thing you appreciate about them.
  • One wish for next year.
  • Anything to avoid (a hard year, a breakup, a job loss). This matters as much as the rest.

Use first names or nicknames in your notes. You don’t need last names or addresses to write a card.

3 copy-paste prompts to try today

1. 💌 A personal card message from a few notes

Paste this into a new chat and fill in the brackets.

Help me write the message inside a holiday card.
Card is for: [FIRST NAME], my [RELATIONSHIP].
Holiday wording I use: [Merry Christmas / Happy
Holidays / Happy Hanukkah / Season's Greetings]
My notes: [ONE REAL MOMENT FROM THIS YEAR], [ONE
THING I APPRECIATE ABOUT THEM], [ONE WISH FOR
NEXT YEAR]
Please avoid: [ANYTHING SENSITIVE, OR "nothing"]
Write 3 short versions (2 to 4 sentences each):
one warm, one light and funny, one simple.
Use only my notes. Don't invent memories, plans
or details. Plain, everyday words, like a real
person wrote it by hand. Sign it "[YOUR NAME(S)]".

Pick the one that sounds most like you, then change at least one sentence in your own words. That’s the part they’ll remember.

2. 🎄 A short family year-in-review letter (that doesn’t brag)

A good family letter is short, warm and a little bit humble. This prompt keeps it that way.

Write a short family holiday letter from
[FAMILY NAME OR "Jim and Carol"].
Our real highlights this year (keep them simple):
- [PERSON]: [ONE THING]
- [PERSON]: [ONE THING]
- One funny or imperfect moment: [__]
- Something we're grateful for: [__]
Rules:
- Under 250 words, warm and friendly.
- No bragging: don't list awards, prices, grades
or trips as a brag. Tell 1 or 2 small stories.
- Mention we're thinking of friends who had a
  hard year, without naming anyone.
- Don't add anything that isn't in my notes.
- End with a warm wish for the reader and a line
inviting them to send their news.
Then give me a 120-word version for a card insert.

Read it aloud. If a sentence sounds like a press release (“We are thrilled to announce…”), ask: “Make line 3 sound more like how I talk, and cut anything that sounds like bragging.”

3. 🤝 A business or client thank-you card

For small-business owners, freelancers and anyone sending cards to customers, clients or partners.

Write a short handwritten-style holiday thank-you
card from me, [YOUR FIRST NAME] at [BUSINESS],
to [CLIENT FIRST NAME OR BUSINESS].
What I'm thankful for: [E.G. "trusting us with
your kitchen remodel," "6 years of orders"]
One specific detail: [__]
Holiday wording: [Happy Holidays / Merry
Christmas / Season's Greetings]
Rules: 2 to 4 sentences. Warm and personal.
NO sales pitch, no discount, no "call us for"
line. Don't invent details. Give me 3 versions:
one warm, one brief, one a little playful.

Thank-you cards work best when they ask for nothing. Save offers for another day. For year-round customer emails, see how to write emails with ChatGPT.

How Bot Club works

Make it sound like you

  • Give it your voice. Paste one card or text you wrote yourself and add: “Match the way I write in this example.” Short sentences? Lots of exclamation points? It will copy that.
  • Name the tone. OpenAI’s prompting tips say descriptive words like friendly, informal, humorous or serious help guide the tone. Try “warm and a little funny, like a note from a favorite aunt.”
  • Ask again, don’t start over. OpenAI also suggests improving step by step: review the answer, then add more context or simplify. “Shorter.” “Less formal.” “Use the lemon bars detail.” “Remove the word ‘cherish.’”
  • Do the read-aloud test. If you wouldn’t say it out loud to that person, change it.
  • Add one line by hand. Even a printed letter feels personal with a short handwritten note at the bottom.

A gentle note for friends who are grieving

For many people the holidays are the hardest weeks of the year: a first Christmas without someone, a divorce, an illness. A cheerful family letter can sting. A few simple habits help:

  • Send a separate, shorter card instead of your full year-in-review letter.
  • Skip “happy” and “merry.” “Thinking of you this season” or “Holding you close in our hearts” is kinder.
  • Say the name of the person they lost, if you knew them, and share one small memory. It shows you remember them too.
  • Don’t give advice or say “at least” or “everything happens for a reason.”
  • Tell ChatGPT what happened in your own words (first names only) and ask for “3 gentle, short messages with no advice.” Then make it yours. Members get a ready prompt above.

Bonus: make a simple card picture with ChatGPT Images

OpenAI says ChatGPT Images is available on all plans, on the web and the iPhone and Android apps. You can ask ChatGPT to create an image in a chat, or select More, then Images. It can follow instructions to add text, you can choose a shape with the aspect ratio picker or just say it in your prompt, and you can upload a photo and describe changes. Try:

Create a simple, cozy holiday card picture:
[A RED DOOR WITH A WREATH / A SNOWY PINE FOREST /
OUR DOG IN A SCARF]. Watercolor style, soft
colors, lots of plain space at the bottom.
Include ONLY this text, spelled exactly:
"[Happy Holidays from the Garcias]"
Tall, portrait shape. No other text.

OpenAI notes that images can take a few minutes, and that when you edit one part, the highlight isn’t always precise. Check every letter of the greeting before you print or share it. Every picture you make is saved under Images, where you can save it to your device. New to this? Start with ChatGPT image generation for beginners (members get a ready-made “holiday card from a family photo” prompt there). Before uploading a family photo, crop out house numbers, street signs and school logos.

Privacy: keep other people’s details out of the chat

You need feelings and memories to write a card, not personal data. A simple rule: first names and stories in, addresses and secrets out.

  • Don’t paste your address list (yours or anyone else’s), phone numbers or email addresses. Do the address list in your own spreadsheet. Members’ prompt 10 shows the steps with a made-up example.
  • Don’t share someone else’s private news (a diagnosis, a divorce, a pregnancy) unless it’s already public and they’d be fine with it. Describe it loosely instead: “a hard year.”
  • Kids: leave out full names, schools and towns.
  • Want fewer chats saved? OpenAI says a Temporary Chat stays out of your chat history and isn’t used to improve its models while it stays temporary, though a copy may be kept for up to 30 days for safety. Open a new chat and select Temporary. More in ChatGPT Memory and Temporary Chat and Is my AI assistant safe?

Addressing and mailing: the USPS basics

  • Where things go: USPS says to write your return address in the top-left corner and the delivery address in the bottom center, with the stamp in the upper-right corner.
  • How to write it: print neatly in capital letters with a pen or permanent marker, no commas or periods, and include the ZIP+4 Code whenever possible.
  • Postage (as of Oct 28, 2026): USPS says one First-Class Mail Forever stamp ($0.82) sends 1 oz in a rectangular envelope anywhere in the U.S. Square or vertical envelopes cost more, and rigid or lumpy ones (clasps, string, buttons) cost $0.49 more.
  • Fancy envelopes with wax seals or ribbons: USPS suggests putting them inside another envelope, or paying the nonmachinable price and asking the Post Office counter to hand-cancel them.
  • Photos are fine inside a card as long as the envelope stays flat and less than 1/4 inch thick.

Troubleshooting

  • It sounds like a greeting-card factory. Add one more specific detail and say: “Plainer words. No ‘cherish,’ ‘magical’ or ‘joyous.’”
  • It made up a memory. Say: “Use only my notes. Remove anything I didn’t tell you.” Then reread.
  • It’s too long for the card. Ask for “under 40 words” or “3 lines.”
  • Not everyone celebrates Christmas. Ask for “Happy Holidays” or “Season’s Greetings” versions, or name the holiday they celebrate.
  • I have 60 cards to write. Write one master message, then ask for “10 small variations” and add one personal line to each. Members get the full Card-Writing Plan.
  • The picture spelled our name wrong. Reply: “Fix the spelling of [WRONG] to [RIGHT], change nothing else.”

Quick FAQ

Can ChatGPT write my Christmas cards?

Yes, it can write a warm first draft in seconds. Give it 3 to 5 real notes about the person (one memory, one thing you appreciate, one wish), ask for a few short versions, then change a line or two so it sounds like you. Tell it not to invent memories, and check every name before you send.

How do I write a family Christmas letter that doesn't sound like bragging?

Keep it under about 250 words, tell one or two small stories instead of a list of achievements, include one funny or imperfect moment, thank the people who helped you, and end by asking about the reader. You can ask ChatGPT to remove anything that sounds like bragging.

What should I write in a holiday card for someone who is grieving?

Keep it short and gentle: say you are thinking of them this season, use the name of the person they lost if you knew them, and share one small memory. Skip words like happy or merry, and avoid advice or phrases like everything happens for a reason.

Is it safe to put my family's names and addresses into ChatGPT?

Keep it to first names and stories. Don't paste addresses, phone numbers, email addresses or other people's private news. Keep your address list in your own spreadsheet. OpenAI says a Temporary Chat stays out of your history and isn't used to train its models while it stays temporary, though a copy may be kept for up to 30 days for safety.

When should I mail Christmas cards in 2026?

USPS's 2026 Holiday Shipping Deadlines page recommends sending First-Class Mail by Thursday, Dec. 17 for expected delivery by Dec. 25 in the lower 48 states, and by Wednesday, Dec. 9 for First-Class Mail to the military APO/FPO/DPO ZIPs it lists. International dates are earlier, and USPS says actual delivery can vary.

Can ChatGPT make a picture for my holiday card?

Yes. OpenAI says ChatGPT Images is available on all plans. Describe the picture, put any greeting in quotes spelled exactly, say the shape (for example tall or square), and check every letter before you print. You can also upload a family photo and describe the change you want.
