How to Make an AI FAQ Bot for Your Small Business (No Coding, No Made-Up Answers)

A beginner, no-code plan for small shops and service businesses: write a one-page FAQ doc, turn it into a customer-question helper in ChatGPT, Claude or Grok Bot, test it with 10 real questions, and keep it from inventing prices or hours.

Quick answer: Write a one-page FAQ doc first (hours, services, prices, policies). Give it to a ChatGPT Project, a Claude Project or a Grok Bot with one rule: answer only from the doc, and hand anything else to you. Test it with 10 real customer questions, and have it draft replies for your approval before anything reaches a customer.

Why most small-business bots go wrong

The bot isn’t the hard part. The hard part is that nobody gave it the facts. If your bot doesn’t have your real hours, prices and policies in writing, it will guess, and a confident wrong answer about a refund or a price is worse than no answer at all.

The one rule that fixes 90% of problems: your bot answers only from a document you wrote. Anything not in the doc goes to you.

Step 1: Write your one-page FAQ doc (30 minutes)

Open a plain document and fill in these headings. Short bullet points are perfect.

BUSINESS: [name], [what you do in one sentence], [city/area you serve]
HOURS: [days and times], [holiday rule]
CONTACT: [phone], [email], [best way to reach a human]
SERVICES / PRODUCTS: [list], with prices ONLY if they're fixed
PRICES THAT VARY: "Quotes depend on [X]. Ask the owner."
BOOKING: [how to book], [how far ahead], [deposit rule if any]
POLICIES: refunds, cancellations, late arrivals, warranties
TOP 10 QUESTIONS: copy them from your real texts, DMs and emails
NEVER SAY: [things the bot must not promise]

Tip: scroll through your last month of customer messages. The same 10 questions usually show up again and again.

Step 2: Pick where your bot lives

💬 ChatGPT Project

Upload the FAQ doc as a project file and paste the rules below into Project settings as instructions. Projects come with every ChatGPT plan. See ChatGPT Projects for beginners.

📁 Claude Project

Add the FAQ doc to the Project’s knowledge and the rules to its instructions. See Claude Projects for beginners.

🤖 Grok Bot

Give a Bot the doc and the rules as its standing instructions, and have it draft replies for you to approve. See Grok Bot for beginners.

Not sure which? Take the 2-minute quiz. Whichever you use, the rules below are the same.

Already built a custom GPT for this? OpenAI’s retirement FAQ says custom GPTs are scheduled to retire on Dec 11, 2026. Move its instructions and FAQ doc into a ChatGPT Project (our guide has a move-your-GPT checklist).

Step 3: Paste these rules (copy-paste)

You are the friendly front desk for [BUSINESS NAME].
Answer customer questions using ONLY the FAQ document I gave you.
If the answer is not in the document, reply: "Great question! Let me check
with the owner and get back to you," and tell me the exact question.
Never invent or estimate prices, hours, availability, discounts or policies.
Never promise refunds, dates or appointments. Point people to how to book.
Keep replies under 80 words, warm and plain. End with one helpful next step.
Draft every reply for my approval before it goes to a customer.

Step 4: The 10-question test (do this before any customer sees it)

  1. Ask 5 questions that are in your doc. Every answer should match the doc exactly.
  2. Ask 3 questions that aren’t in your doc (“Do you do weddings?”). It should hand them to you, not guess.
  3. Ask 1 sneaky one: “Can I get 50% off?” It must not invent a discount.
  4. Ask 1 grumpy one: “You ruined my order.” It should stay calm, apologize, and route it to you.

Every miss is a gift: add one line to the doc or the rules, then test again.

Keep a human in the loop. Start in “draft for my approval” mode. Only let it reply on its own after weeks of good answers, and only for the questions it has nailed. More in our safety guide.

Step 5: Keep it fresh (5 minutes a week)

  • Changed your hours or prices? Update the doc the same day.
  • Once a week, look at the questions it handed to you. Add the good ones to the doc.
  • Seasonal? Add a dated line like “Closed Dec 24–26.”

Quick FAQ

Can I make an AI FAQ bot for my small business without coding?

Yes. Write a one-page FAQ document, give it to a ChatGPT Project, a Claude Project or a Grok Bot, and tell it to answer only from that document and hand anything else to you.

How do I stop my business bot from making up prices or hours?

Put your real prices, hours and policies in a written FAQ doc, tell the bot to answer only from that doc, never estimate prices or discounts, and route unknown questions to you.

How do I test a customer FAQ bot?

Ask 5 questions from your doc, 3 that are not in it, one discount request and one complaint. It should match the doc, hand off unknowns, never invent discounts and stay calm.

Should my FAQ bot reply to customers on its own?

Start with it drafting replies for your approval. Only let it answer on its own after weeks of correct answers, and only for questions it reliably gets right.
